Access
| What you see | Likely cause | What to do |
|---|---|---|
| No Accounting card on the dashboard | Accounting is off, or you have no Accounting permission | Administrator: switch on Accounting and give the role a permission. See Access. |
| Accounting unavailable: "Accounting is not enabled for this tenant" | The module is off | Ask an administrator to enable Accounting. |
| "You do not have permission to open this accounting page" | You lack that page's permission | Use the pages in your menu, or ask for the permission. |
| "No business-unit access is assigned to this user" | You are assigned to no business units | Ask an administrator to assign you to a unit. |
| A report is empty for one unit | You are not assigned to that unit | Ask for access to the unit, sign out and in. |
| Changes don't show after your role changed | Permissions are read at sign-in | Sign out and in, or select Refresh access. |
Chart of accounts
| Message | Meaning | What to do |
|---|---|---|
| Account code already exists | Codes are unique | Use another code, or edit the existing account. |
| System accounts cannot be changed / cannot be deactivated | The account is used by automatic postings | Leave it as it is. |
| Account has child accounts and cannot be deactivated | Other accounts point to it as their parent | Change or deactivate the children first. |
| Account cannot be its own parent | The parent chosen is the same account | Choose another parent or none. |
Postings from other modules
These appear in Invoicing, Payments or Purchasing when the document can't be posted, because its journal can't be created.
| Message | Meaning | What to do |
|---|---|---|
| Accounting account not found. accountCode=1100 | A required account is missing | Create it with exactly that code. See Accounts the automatic postings need. |
| Account is inactive: 4100 | A required account was deactivated | Reactivate it (Edit → Reactivate account). |
| Posting is not allowed for account: … | The account is neither System nor Manual allowed | Tick Allow manual posting, or use the right account. |
| Accounting journal already exists for reference … | The document was already booked | Nothing to do; it is in the ledger once. |
| Journal is not balanced | The document's amounts don't add up | Check the document's totals in its module; report it to support. |
| LEDGER_BASE_CURRENCY_CONFLICT | The document's base currency differs from the charity base currency | Check the organisation's base currency settings. |
Reports
| What you see | Meaning | What to do |
|---|---|---|
| "Choose valid dates…" | Missing or reversed dates | The from date must be on or before the through date. |
| Report cannot combine different currencies | Lines in the period use different currencies | Use the Reports-module version, which works in base currency. |
| Balance sheet shows Unbalanced | Current profit isn't in equity on this screen | Expected until year-end closing. See Balance sheet. |
| A sale isn't in the reports | The invoice is still a draft | Post the invoice in Invoicing. |
| Aging for a past date shows today's balances | This screen ages current balances | Use Reports → Accounting → AR aging for history. |
| Statement doesn't start from the customer's real balance | Statements have no opening balance | Run it without dates. |
Frequently asked questions
Can I type a journal by hand? Not yet; there is no manual journal screen. Correct the source document in its own module.
Can I delete or edit a journal? No. Journals are permanent. A wrong invoice is corrected with a credit note; a wrong receipt allocation in Payments.
Why is tax inside Sales Revenue?
The automatic sales posting credits the full invoice total to 4000. Tax is not split to a tax account.
Why do receipts go to "Current Assets" and not our bank account?
Automatic postings use account 1000 for money in and out. Reconcile it to your bank statements
outside Trade Manager.
Why can't I see a journal a colleague can see? It belongs to a business unit you are not assigned to.
Is a journal number the same as a transaction ID? No. Journal lookup needs the transaction ID. Open journals from the General ledger links to avoid confusion.
