Receivables aging and customer statements

Every posted sales invoice adds to what a customer owes. Allocated receipts and posted credit notes reduce it. Accounting keeps this per invoice, so you can see who owes what and how late it is.

Outstanding = invoice total − amounts allocated − credit notes.

Receivables aging

Where: Accounting → Receivables aging. Who: accounting.ar.aging.view. Covers invoices of every business unit you are assigned to.

  1. In Age current balances to, choose the date to age to (normally today).
  2. Select Run aging.

The Aging summary shows the totals; Aging by customer shows one row per customer.

ColumnDays past the due date on the chosen date
CurrentNot yet due, or due that day
1-301 to 30 days overdue
31-6031 to 60 days overdue
61-9061 to 90 days overdue
Over 90More than 90 days overdue
TotalEverything outstanding for that customer

Customers are shown by their partner number, for example Partner #55, not by name. Each row has two actions:

  • Invoices for Partner #55 shows Outstanding invoices: each invoice with its invoice date, due date, days overdue and outstanding amount;
  • Statement for Partner #55 opens that customer's statement (if you have statement access).

To find a customer's name, open their partner record, or use the statement's Find customer search.

Example: aged to 8 November 2026:

Today's balances, aged to your date

This screen ages each invoice's current outstanding amount. Choosing a past date does not rebuild the balance as it was on that date; payments made after it are already deducted. For a true historical aging, use Reports → Accounting → AR aging. Totals may also mix currencies if you invoice in more than one.

Customer statements

Where: Accounting → Customer statements. Who: accounting.ar.statement.view.

  1. Under Find customer, type the customer's name or code and select Search customers. Choose the customer. (From an aging row, Statement for Partner #… opens it directly.)
  2. Optionally enter From date (optional) and Through date (optional, inclusive). Enter both or neither.
  3. Select Run statement.

The statement lists every receivables movement in date order with a running balance:

Example: Café Aroma, November:
