Which report answers which question

The examples below all use Bright Home Supplies, November 2026. The journals behind them are listed in the worked example.

General ledger

Every posted line in the period, grouped by account, with a running balance.

ColumnMeaning
Posting dateAccounting date of the journal
Journal transactionLink to the journal (opens Journal lookup)
ReferenceWhat created the journal
AccountCode and name
Debit, CreditThe line amount on its side
Running balanceBalance after this line, in the account's normal direction

Example: account 1100 Accounts Receivable, November:

10 NovPAYMENT_ALLOCATION PAY-0007200.00127.60
24 NovPAYMENT_ALLOCATION PAY-0011127.600.00

Totals: debit 327.60, credit 327.60, closing balance 0.00.

Trial balance

For each account: the period's debits and credits, and the closing balance on its debit or credit side. The report says whether total debits equal total credits.

Example: November:

AccountDebitCreditClosing debitClosing credit
1000 Current Assets327.60150.00177.60
1100 Accounts Receivable327.60327.60

5000 Cost of Goods Sold150.00150.00
5100 General Expenses45.0045.00
Total1,000.201,000.20

Balanced: yes. A trial balance that does not balance should never happen; report it to support.

Two versions

If you also have the Reports module and reports.view, the page shows the scoped trial balance: opening balance before the from date, the period's movement, and the closing balance, all in base currency. Otherwise you see the period-only version above.

Profit and loss

Revenue less expenses for the period.

  • Revenue accounts count credit minus debit.
  • Expense accounts count debit minus credit.
  • A Revenue account with a debit balance (such as 4100 Sales Returns) reduces total revenue.

Example: November:

SectionAccountAmount
Revenue4000 Sales Revenue327.60
Total revenue327.60
Expenses5000 Cost of Goods Sold150.00
Expenses5100 General Expenses45.00
Total expense195.00
Net profit132.60

With the Reports module and reports.view, the page adds a Monthly profit and loss table (Month, Revenue, Expense, Net).

Balance sheet

What the organisation owns (assets), owes (liabilities) and the owners' stake (equity), on one date.

Example: as of 30 November:

SectionAccountAmount
Assets1000 Current Assets177.60
Total assets177.60
Liabilities2200 Accruals45.00
Total liabilities45.00
Equity0.00
Total equity0.00
Server balance statusUnbalanced
Why it says Unbalanced

This screen does not add the current period's profit to equity. Assets 177.60 = liabilities 45.00 plus the November profit of 132.60, which is still in the revenue and expense accounts. Until a year-end closing journal moves the profit to 3100 Retained Earnings, the screen shows Unbalanced.

The balance sheet in the Reports module (Reports → Accounting → Balance sheet) adds a line Current earnings (unclosed revenue less expense) to equity and shows the same date as balanced:

EquityAmount
Current earnings (unclosed revenue less expense)132.60
Total liabilities and equity177.60

Currencies

All lines in one report must share a currency. If your books include documents in more than one currency, the trial balance and profit and loss stop with "Report cannot combine different currencies". Use the Reports module versions, which work in base currency throughout.

Exports

These screens show results on the page. To export to Excel or PDF, or to schedule a report, use the Reports module, which offers the same accounting reports.

Next: Receivables.
