Cancel a Draft and correct receipt mistakes
Where: Draft customer receipt detail → Cancel receipt.
Who: payment.cancel, payment viewing and business-unit access. A replacement needs creation/setup access.
The generic workspace has no receipt editor. Correct a mistaken Draft by cancelling and replacing it when appropriate. A Posted mistake requires Accounts/support review because there is no customer-workspace unpost/refund/reversal action.
Cancel a Draft
- Confirm the payment number, customer/unit and Draft status.
- Select Cancel receipt.
- Read Cancel this draft receipt?.
- Select Confirm cancel, or Keep reviewing to leave it unchanged.
- Check Receipt cancelled. and the actual returned state Cancelled.
This confirmation has no cancellation-reason field. If your organisation needs a recorded explanation, use its approved audit/reconciliation process and reference the payment number/ID.
Example: wrong amount entered before posting
Evidence shows 200, but a Draft was created as 2,000:
- Verify no actual 2,000 transfer occurred and that this record is still Draft.
- Cancel the incorrect Draft and check Cancelled.
- Search for any other entry of the real transfer before replacing it.
- Create a corrected receipt of 200 with the correct evidence reference.
- Review its new number/ID, post and allocate only the real amount.
Cancellation retains the old record and its amount history. It does not turn its displayed 2,000 into zero or delete the evidence of the mistake. Status is essential when interpreting balances.
Example: wrong customer or unit
For a Draft recorded against the wrong customer/unit, cancel it and recreate using the correct authorised selections. Do not allocate it to a convenient invoice or invent a customer identity to compensate.
For a Posted/Partially allocated receipt, there is no corresponding generic customer/unit editor or transfer control. Give Accounts the actual source/target references and evidence for an approved correction.
Check returned cancellation status
The browser offers Cancel only for a Draft, but concurrent state changes can occur. The service can return a record unchanged for an ineligible cancellation state; the detail checks the returned status rather than assuming a successful HTTP response means Cancelled.
If you see The server returned … Review the current payment before continuing, inspect/reload the receipt. Do not create the replacement on the assumption the old one was cancelled.
No allocation correction control
An allocation cannot be edited, deleted or reversed through this screen. The same receipt–invoice pair cannot be topped up with a second row. If the wrong invoice/amount was allocated, do not create another receipt for the same cash or enter negative amounts. Refer the original payment, invoice and allocation details to Accounts/support.
Uncertain cancellation
A timeout is not proof of failure. Let the automatic refresh finish, reload the browser or reopen the receipt from Payments, then check its current status and allocation rows before another write.
There is no generic Restore, Reopen, Reset to draft or Undo cancellation button. Internal/Expense lifecycle capabilities do not imply those commands are available for customer receipts.
