Find receipts and available customer money

Where: dashboard → Payments.
Who: payment.view, Payment capability and access to the relevant business units.

Search the register

  1. Enter Payment number, choose Status and Method, and choose Sort.
  2. Open advanced filters for Reference, business unit, customer Partner or date range.
  3. Select Search and review the matching count and active filters.
  4. Select a payment number to open the receipt detail.

The form also refreshes after filter changes with a short delay. Check the applied filter values before acting on a row; Search resets to the first page.

The register's amounts use each row's own transaction currency. It does not offer an automatic common-currency total.

Useful searches

Check for a duplicate before creating

Search the actual bank/card reference, relevant payment dates and Customer partner ID. Open likely results and compare method, amount, unit and notes. A matching reference is useful evidence, not a unique transaction key enforced by this form.

Find money still available

Filter customer/unit and Status Posted, then repeat with Partially allocated. Inspect Available. There is no dedicated Available greater than zero filter or combined multi-status selection.

A Draft may show a positive Available number but is not yet allocatable. A Cancelled record can retain amounts. Read status with the balance.

Investigate an invoice still due

Use the invoice detail's Payments link, which carries customer/unit filters. Find the receipt and inspect allocation rows for the invoice ID. The filtered list is not exclusive to that bill.

Sorting

SortUseful for
Newest payment firstRecent receipt entry
Oldest payment firstHistorical review
Payment numberReference ordering
Amount descending (per currency)Larger numeric receipt amounts

Amount sorting does not convert currencies. A EUR 1,000 row is not automatically worth more than a GBP 900 row because its number is larger.

Empty results and errors

No payments found can mean filters exclude the receipt, the current tenant/unit differs, or no permitted unit is available. Clear filters and verify access. The current backend excludes expense/donation workflows despite the older register description.

An error state offers Retry search and must not be treated as an empty bank/customer ledger. After a timeout on creation, search by reference/customer/date before creating another receipt.
