| "Only staff linked to an employee record can record doses" | No employee link | Ask HR to link your user to your employee record. |
| "No residents with doses in this window" | Nothing due within 2 hours of now | Check the facility, admissions, order start dates and times. |
| Times are an hour out | Wrong facility time zone | Ask the Care manager to check the facility's Time zone. |

| "An observation cannot be in the future" | Wrong date or time | Correct Observed at. |

What happens automatically
| When | The system |
|---|---|
| An order is created | Checks it against active allergies |
| Every day | Works out each active order's dose times in the home's time zone |
| A dose is recorded over 60 minutes late | Marks it late |
| A PRN dose is recorded | Checks the rolling 24-hour maximum and the minimum gap |
| A dose is recorded as Missed | Offers a one-time incident decision |
| A High allergy is added | Shows a severe-allergy alert |
| A DNACPR or treatment escalation plan is active | Shows an alert at the top of the profile |
| A directive's review date passes | Shows a review-overdue alert |
| Immunisation, appointment, follow-up or review dates approach | Lists them in Reviews due → Health due (14 days ahead) |
| Anyone opens health information | Logs the view |
It doesn't send anything to a pharmacy or GP, give clinical advice, keep a stock count, or email or text anyone.
An incorrect dose record
There's no edit or delete for doses.
- Don't record another dose to "cancel" it.
- Write a case note (type Health observation) explaining the error.
- If it's a medication error, report an incident of type Medication error, and follow your procedure.
Retention
Health records add the Health category to Care's retention review. When a person is anonymised at the end of the retention period, their health history is kept unchanged but no longer linked to their name.
