Set up master data (colours, sizes, units)

Several drop-downs in the product form show lists your organisation maintains. Set these up before creating products, so staff pick from a clean, consistent list instead of typing "blue", "Blue" and "BLU".

Where: Dashboard → Settings → Master data Who: view master-data.view; add master-data.create; edit master-data.update.

Edit, deactivate or reactivate

  • Edit changes the label, description, sort order or Active setting. The code is fixed.
  • Deactivate removes the item from future choices. Products that already use it keep their value. When you open such a product, the form shows the value as "(unavailable legacy option)".
  • Reactivate offers it again.

Use the All / Active / Inactive filter to find items.

Plan your codes

Codes are permanent and appear on every variant that uses them. Use simple, stable codes such as BLUE, LARGE, CM, and put the friendly wording in the label.

Known limitations

Unit of measure and product type lists

The product form's Unit Of Measure list is currently fixed to PCS, KG, GRAM, LTR, METER, and Product Type to GOODS, SERVICE. They don't use your master data. However, the form won't let you save a product unless the Unit Of Measure master data list has at least one active item. You'll see "Units of measure unavailable. Ask an administrator to add active master data items before saving products."
