Invoicing messages and frequently asked questions
Access and finding documents
Is this where I enter a supplier invoice?
No. This workspace contains customer sales invoices and linked sales credit notes. Use Purchasing invoices for supplier bills and its separate vendor-payment flow.
Why is Invoicing unavailable?
Check the tenant/session, Invoicing capability, sales.invoice.view or the task-specific permission, and business-unit access. Related links into Sales, Payment or Accounting need their own access. Use Refresh access or sign in again after access changes.
Why is a known invoice missing from the register?
Clear filters, check the numeric Sales order ID, invoice-number substring and permitted unit. Status/date filters may exclude it. No allowed units can produce an empty result. A lookup/request failure is not a successful empty search.
Why does the customer show Partner #…?
The invoice references a customer Partner; the display name is enriched from master data. Missing enrichment can leave an ID fallback. Do not create another customer or Party simply to repair a label. Give support the invoice and Partner references.
Creation and correction
Can I create a free-standing invoice or choose only some lines?
No. Creation requires an eligible sales order and copies its lines, quantities and values. There is no line selection, independent product-entry form or partial-dispatch invoice generator.
Can I edit dates, notes, tax or quantity on a saved Draft?
No invoice-edit screen is provided. Cancel an incorrect Draft, resolve the source/form values and create a replacement from an eligible order. Posting first removes the draft-cancellation option.
Why are the prices different from today's price list?
The invoice copies the order's saved commercial agreement; it does not reprice from today's list. Compare the saved source and its pricing breakdown.
Why is the Due date not the end of next month?
Blank Due date means Invoice date + 30 calendar days, not month-end or working days. Enter the agreed date explicitly during creation if different.
Can I invoice the same order twice?
Only one non-cancelled invoice is allowed. A Draft counts as active. Search for it before retrying creation. Cancelling a Draft keeps history and permits a replacement when the order remains eligible.
I saved but received no confirmation. Should I try again?
Use the register filtered by Sales order ID. The message The invoice may have been created means the browser cannot establish the outcome. Do not create another document until the first result is known.
Posting and journals
Does posting email the invoice or dispatch the goods?
No. Posting finalises the invoice and accounting/receivable workflow. Customer delivery of documents and physical Sales dispatch are separate activities; no Send invoice/PDF-pack control is provided in these screens.
Why does a Draft already have a journal?
Creation prepares a draft journal through Accounting. Posting finalises the appropriate journal/receivable effects. A draft journal does not mean the invoice is already Posted.
Why can I not edit journal accounts?
The editor requires Accounting, account view and invoice account-update permissions, a Draft invoice, a Draft journal and exactly two entries. More complex journal structures and posted journals are not editable through that screen.
Does cancelling a Draft remove its journal and all amount fields?
No such guarantee is provided by invoice cancellation. The invoice is retained as Cancelled and can retain the original numeric balance fields. Ask Accounts to check its draft journal. Cancellation is not automatic journal reversal or source-order cancellation.
Can I cancel or reverse a Posted invoice?
The draft cancel command is refused once posted. There is no ordinary unpost/reversal command in this workspace. Refer the correction to Accounts/application support; credit-note writes are also unavailable in the current browser.
Balances, payments and credits
Does Paid mean the full amount arrived in the bank?
No. Paid / credited includes payment allocations and effective credits. Paid means the invoice's amount due reached zero. Reconcile bank evidence and allocation records separately.
A payment is visible, so why is the invoice still due?
A generic receipt can exist without allocation to this invoice. Check that it is posted and has the correct invoice allocation. The Payments link is filtered by customer/unit, not exclusively this invoice.
Why are there two ways to record payments?
The order-centric Record Payment workflow records/allocates against that invoice. The generic Payment workspace uses draft receipt, posting and allocation as separate steps. Both affect the same invoice; do not record the same cash through both paths.
Why are credit-note changes unavailable despite my permissions?
The current browser explicitly disables credit creation, posting and cancellation. Permissions do not override that release restriction. Read existing records and refer a new request to Accounts; do not try to bypass the restriction through another interface.
A Posted credit is not labelled Applied. Should I apply it again?
No. The implemented posting flow applies the credit to the source invoice while its status can remain Posted. Check the actual balance and existing records. The browser provides no separate Apply or Refund action.
Does a Sales return credit put goods back into stock?
Its classification alone does not prove any physical stock return. Follow the appropriate inventory/returns process and inspect actual stock movements separately.
Reports
Why does Sales by customer differ from current Amount due?
The report measures effective sales less credits by document dates, in base currency. Payments reduce due without reducing sales. Draft/Cancelled documents, period differences, credits dated in another month, unit scope and currency also matter.
Can I export an individual invoice PDF from here?
The current invoice pages do not expose a dedicated invoice PDF/send action. Report XLSX/PDF export is a different operation; it exports report results, not a customer-ready invoice document.
Quick message reference
| Message / symptom | Recovery |
|---|---|
| Sales order status does not allow invoice creation | Use Confirmed/eligible dispatch-progress order; resolve Sales workflow |
| Sales order has no lines | Correct the source |
| Invoice already exists | Open the existing non-cancelled invoice |
| Enter a valid sales order and invoice date… | Check numeric ID, dates and 1,000-character notes limit |
| Only DRAFT sales invoices can be posted/cancelled | Reload and inspect current state |
| Invoice must have at least one line / total greater than zero | Resolve source/data; do not invent edits here |
| Reload and review before trying again | A validation/state conflict requires fresh data before another action |
| Credit-note changes are currently unavailable | Current release restriction, not a permission fix |
| No credit notes / credit load error | Distinguish a successful empty list from failed or restricted loading |
| Sales report requires one valid base currency | Narrow/correct scope and currency setup with Accounts |
Information to send to support
Include the exact action/error, tenant, business unit, invoice number and numeric ID, source order ID, status, currencies and relevant payment/credit references. Mention whether the operation timed out and whether a reload found a changed state. Exclude credentials and unnecessary customer/bank data.
