Sales reporting and receivables reconciliation

The invoice register answers document-level questions. The Reports workspace provides aggregate Sales by customer figures; Accounting provides receivables views such as aging and customer statements.

Run Sales by customer

Where: Reports catalogue → Sales by customer.
Who: sales.invoice.view, Invoicing/report access and allowed business-unit scope.

  1. Select the report and set its fromDate and toDate date filters.
  2. Set businessUnitId where needed, or use the permitted report scope.
  3. Run and read the report's scope, currency and generation notes.
  4. Review the customer rows and TOTAL.
  5. Use XLSX/PDF export where available in the report screen.

Date bounds are inclusive. Use a valid From ≤ To range, within the report's limit of 120 calendar months. If the customer limit is exceeded, narrow the period/unit.

What is counted

SourceIncluded statesRelevant date
Sales invoicesPosted, Partially paid, PaidInvoice date in the selected period
Effective sales credit notesPosted, Applied, RefundedCredit-note date in the selected period
Draft/cancelled documentsExcluded from these effective sales amountsNot posted sales/credits

Existing credit-note data is reported even though credit changes are currently unavailable in the browser. Paying an invoice does not remove its sale from the report.

Columns

ColumnMeaning
Customer / Partner codeGrouping identity
Invoices / Credit notesCounts of included documents
Invoiced excl. taxEffective invoice sales value before tax
Credited excl. taxEffective credited value before tax
Net sales excl. taxInvoiced less credited value
Net taxInvoice tax less effective credit tax
Net sales incl. taxNet sales excluding tax plus net tax

Amounts use base currency. The report requires one valid common base currency for the selected results; it does not sum unlike base currencies as if equivalent.

Example A: original sale and later payment

The running invoice has net goods 273.00 and tax 54.60, total 327.60. When Posted within November, and with no effective credits in November, its customer's report contribution is:

Net sales excl. taxNet taxNet sales incl. tax
273.0054.60327.60

Allocating a payment of 200 changes Amount due to 127.60 but leaves that sale's report contribution unchanged. This is a sales report, not a cash-receipts report.

Example B: credit in a different month

A tax-free invoice for 100 is dated in November. An existing effective tax-free credit for 20 is dated in December:

PeriodInvoicedCreditedNet sales
November only1000100
December only, with no other activity020−20
November–December1002080

A credit need not share the original invoice's report period. Negative net sales for a period with only credits can be correct. Use the credit's actual date rather than subtracting it from every historical invoice-period report.

Reconcile to outstanding balances

Sales report totals will not normally equal current invoice Amount due: payments reduce due without removing sales, while credits and report date ranges can affect the comparison differently.

For collection work, use invoice detail and Accounting's AR aging/customer statement with the correct scope/as-of date. A due-date filter in the register is a review aid, not a complete aging calculation.
