Review invoice journals and account selections

Where: invoice detail → Order invoice and journal → Journal Transaction Details.
Who: invoice/order access; account changes additionally require Accounting, accounting.account.view and sales.invoice.accounts.update.

The newer invoice detail shows invoice values and balances. The order-based invoice view provides the composed journal information. They are two views of the same bill, not two invoices.

The simple sales-invoice journal path uses a receivables debit and sales credit for the invoice amount. Follow the configured accounting policy; this guide does not prescribe tax-account treatment or a chart of accounts.

Training illustration: for a tax-free 100 invoice, a simple journal may show:

EntryExample accountTransaction amountBase amount at rate 1
Debit1100 Trade debtors100.00100.00
Credit4000 Sales100.00100.00

Account numbers are illustrative, not seeded choices to type blindly. Select the approved accounts in your tenant.

When account editing is available

All these conditions must hold:

  • Accounting is enabled and the user has both account-view and invoice-account-update permissions.
  • The invoice is Draft.
  • The journal is Draft.
  • The composed journal has exactly two entries, fitting this screen's one-debit/one-credit editor.

A journal with a different entry structure is not editable through this specific control. A missing edit control is not necessarily a missing invoice permission.

Change accounts before posting

  1. Open Journal Transaction Details while the edit conditions hold.
  2. Search in the debit Account field and select an actual autocomplete option.
  3. Search/select the approved credit account if that also needs changing.
  4. Verify both selections and the unchanged amounts.
  5. Select Save Account Changes.
  6. Check Journal accounts updated successfully. and the saved account rows.

Typing a name without choosing the option is not a valid selected account. Leaving an unselected text search can restore the existing selection.

Discard resets your unsaved account choices. It does not undo a previously saved change. These controls change account references, not the commercial invoice price, tax or total.

If no journal appears

The view may say the journal is available once the invoice is posted; however, the implemented creation integration can prepare a draft journal before posting. Do not post an unreviewed invoice solely to make a missing journal appear.

Reload, check the source invoice and Accounting configuration, and have Accounts investigate using the invoice/order IDs. Do not create a manual duplicate journal or replacement invoice simply to work around an unconfirmed integration result.

After posting or cancellation

Once the invoice/journal is posted, these draft account controls are unavailable. Correcting a final accounting document is an Accounting process outside this invoice editor.

Cancelling a Draft invoice does not expose a journal-reversal command. Check the retained draft journal with Accounts rather than assuming it was deleted or reversed automatically.
