Choose categories and expense accounts
Category is a broad business label; Account is the specific expense debit account used for posting. Selecting a category does not automatically map or create its accounting account.
Categories
| Code | Example use to review against your policy |
|---|---|
| OFFICE | Approved office consumables |
| TRAVEL | Approved travel spending |
| MEALS | Business meal spending |
| UTILITIES | Electricity or similar operational utility |
| SOFTWARE | Approved software cost |
| MARKETING | Advertising/marketing spending |
| PROFESSIONAL_SERVICES | Approved professional service |
| FREIGHT | Delivery/freight cost |
| GENERAL | Other appropriately classified spending |
These examples explain labels, not tax deductibility or an accounting classification recommendation. The current list is an enum, not a tenant category editor.
Select an account
- Type account code/name in the autocomplete.
- Choose the actual approved option from the EXPENSE-account list.
- Verify the selection before saving.
- Review the resulting journal after posting.
The form currently labels Account optional, but the create request requires accountId and the database requires it. Treat account selection as required. Free text is not an account reference, and the backend lookup is not a substitute for finance's approval of classification.
The service uses account 2020 for employee reimbursement payable and 2010 for company accounts payable. Those are current code expectations, not values entered per expense. There is no expense-route/mapping setup page equivalent to Charity financial configuration.
Example: Amira's travel expense can have category TRAVEL while its selected debit account is finance's approved travel expense account. The category itself does not create that account or choose an employee payable.
If lookup options are empty, check account-read access and actual tenant account configuration. If posting fails for missing 2010/2020 or an ineligible account, resolve the approved setup; do not select a random debit account or rename another payable solely to bypass the error.
