Currency, precision and financial dates
The draft form offers recognised currency codes, but the current generated expense journal/payment uses base currency GBP and exchange rate 1. There is no expense FX-rate entry or conversion preview.
Current field flow
| Value | Source |
|---|---|
| Transaction currency | Expense currency |
| Journal base currency | Hardcoded GBP in current builder |
| Generated exchange rate | 1 |
| Journal base line amounts | Copied from expense total |
| Journal posting date | Expense Date |
| Generated payment date | Expense Date |
| Exchange-rate date | Expense Date |
Examples
A GBP 120 expense produces GBP base amounts 120 at rate 1. That is arithmetically consistent when the tenant's approved base setup is GBP.
A EUR 120 draft does not become an economically correct GBP 120 transaction simply because the form accepts EUR and rate 1 is generated. Do not use currency relabelling or accept draft success as proof of safe foreign-currency posting. Ask finance/support for the approved handling outside the current conversion limitation.
If another active ledger policy requires a different base currency, the underlying financial service can reject the hardcoded GBP base as incompatible. Do not disable ledger policy or rewrite historical currencies to make Expenses post.
Date interpretation
Expense Date is a local date; the browser formats a selected date for the API. Searches use inclusive Date from/to. Current generated reimbursement payments reuse the expense date even when the real reimbursement occurs later, and the small payment dialog offers no separate actual-settlement date field.
Example: Expense incurred 1 November, reimbursement recorded 8 November. The generated payment date currently remains 1 November. Preserve the true external settlement evidence and do not claim the date displayed independently proves the actual transfer day.
The Expenses path does not use Charity's explicit business-date calendar or its preview/confirmation digest. Do not apply that guide's date policy here.
Stored amounts can have four decimals; many screens show two. No full currency-minor-unit or exact-decimal browser guarantee equivalent to Charity is established. Review exact amounts, especially for overprecision or non-GBP records, through the approved finance process.
