Post an employee-paid expense journal

For EMPLOYEE Paid By, posting recognises the expense and reimbursement liability. It does not create a reimbursement payment; that is a later action.

Before posting

Confirm the correct User, captured unit, approved total/date/currency, selected expense account and resolved approval decision. Account code 2020 must resolve to the intended reimbursement payable setup. The selected User must still have allowed unit access.

Procedure

  1. Open DRAFT and resolve any pending tier through its matching authorised decision.
  2. Use the guided action to move to APPROVED.
  3. Review detail again; non-DRAFT edits are not supported normally.
  4. Choose the guided posting action and confirm.
  5. Wait for the returned expense and verify POSTED.
  6. Open 1 Journal Transaction with journal-view rights and inspect its exact lines and dates.
  7. Only then continue through the authorised reimbursement/payment procedure.

Journal example

AccountDebitCredit
Approved travel expenseGBP 120.000
Employee reimbursement payable, code 20200GBP 120.00

The full total is posted, including any tax stored as included tax. There is no separate automatic recoverable-tax line. Posting date is the expense date. The generated journal uses transaction currency from the expense, fixed base GBP and rate 1; see Currency/dates before using other currencies.

The service saves the journal link and expense status within its transaction. That is not an idempotency guarantee for a repeated status request after a lost response. It also does not create a bank transfer or reduce the reimbursement liability through a dedicated settlement journal in the reviewed expense flow.

Recovery

If account or User unit setup is incomplete, resolve approved configuration rather than changing identities or account codes arbitrarily. If the response is lost, inspect existing journal linkage before another post. Do not recreate the expense to “ensure” recognition. The normal edit/delete flow is for DRAFT, not posted corrections; arrange finance review for errors discovered after posting.
