Edit a draft and preserve existing references

Only DRAFT expenses can be edited through the normal update service. The request uses merge semantics: non-null values update fields; null values preserve existing fields. This differs from Employee's full-replacement record updates.

Procedure

  1. Open the exact expense and verify DRAFT.
  2. Choose Edit with expense.update.
  3. Check loaded amount, date, currency, Paid By and selected references.
  4. Correct only the approved facts and choose Update Expense.
  5. Reload and verify saved fields, Amount Due and Approval Status.

Fixed or preserved values

Employee cannot change after creation; its captured business unit is also preserved. Included tax is not part of update and remains unchanged. Notes are not edited by this form. Blank optional reference fields do not necessarily clear a saved Manager, Vendor or Account because null is ignored.

If the existing supplier cannot be searched, the dialog can keep its current vendor. Typed but unselected vendor text is not saved as a new identity. Recheck the actual saved vendor rather than relying on what was typed.

Approval effect

A numerically changed total recalculates the approval tier and clears prior approver/time/rejection data. A description/date/category/account/vendor or Paid By change without a total change does not trigger that reset in current code. Do not assume every material change is automatically reapproved; follow the organisation's approved review process.

Changing formatting from 5000.00 to 5000 does not count as a new amount. A rejected same-amount expense therefore has no simple “resubmit” reset through this form. See Rejection.

Recovery

Expense update requests do not carry the Employee module's explicit expected-version field. Do not promise the same optimistic conflict UX; coordinate concurrent edits and reload saved state. If a response is uncertain, inspect current data before repeating.

For a wrong Employee or included-tax field, review the supported draft deletion/recreation or authorised correction process before financial effects. Do not force an unrelated reference change or fabricate a different amount to unlock a decision.
