Access and permissions in Inventory

What you can see and do in Inventory depends on four things. All four must allow it.

1. The module

If the Dashboard card for Inventory says Not enabled, or Inventory is missing, the Inventory module is off for your organisation. Your administrator switches it on.

2. The "Stock adjustments" feature

Two tasks need this optional feature as well as a permission:

  • the Stock Adjustments page;
  • posting a stock count, because posting creates adjustments.

If the feature is off, the Stock Adjustments button is missing for everyone, and posting a count is refused.

3. Permissions

Typical roles (example):

RolePermissions
Sales staff (Omar)View stock
Storekeeper (Ali)View stock, add, remove, transfer, view movements, view locations, create and update stock counts
Warehouse manager (Sana)Everything above, plus adjust, reserve, release, warehouses, locations and posting counts

4. Business unit access

Each warehouse belongs to a business unit. To change stock in a warehouse, you need access to that business unit. This is granted by an administrator in Admin panel → User business unit access.

Example: Ali has access to the Bright Home Supplies business unit, so he can add stock to Main Warehouse. A colleague without that access can see the page, but saving shows "not authorised" or "Access denied".

After your access changes

Sign out and sign back in (or use Refresh access if your screen offers it). Your menu and buttons are worked out when you sign in.
