The order header
Under the order's details you see the totals worked out by Pricing: Surcharge and Freight (when there are any), Subtotal, Tax and Order total, and the order-level list of every rule applied.
A line's breakdown
- In the order lines, select Toggle pricing breakdown on a line.
- The breakdown lists each rule that changed the line:
| Column | Example (mugs) |
|---|---|
| Rule type | Customer discount |
| Rule name | Café Aroma loyalty |
| Rate | 5% |
| Amount | −9.00 |
| Valid | from 2026-01-01 |
Example, 40 Ceramic Mugs for Café Aroma on 12 November:
| Rule | Name | Rate or value | Amount |
|---|---|---|---|
| Customer discount | Café Aroma loyalty | 5% | −9.00 |
| Promotion discount | November mug promotion | 10% (1–30 Nov) | −18.00 |
| Surcharge | Gift box | 0.25 per unit | +10.00 |
| Tax | Standard VAT | 20% | +32.60 |
The base price (4.50 from the Wholesale list) is the line's Unit Price, not a breakdown row.
When the salesperson typed a Manual Discount %, the rule discounts are replaced by one row named Manual override with that percentage, and the tax row is recalculated. For example, a 15% manual discount on the mugs shows Manual override 15% −27.00 instead of the customer and promotion rows.
Explaining a price to a customer
"Your mugs are 4.50 each on our wholesale list. You get your 5% account discount and our 10% November promotion. The gift boxes add 25p a mug, then VAT at 20%."
What the breakdown is
- A record of the rules applied when the order was last saved. Changing a price list later doesn't change a saved order's breakdown until the order is edited and saved again.
- Kept with the order. A copied order starts with the same breakdown.
Common questions on the order
| Question | Answer |
|---|---|
| Why is the price different from the Catalog price? | The Catalog price is only the estimate. The saved price comes from your price lists and rules. |
| Why didn't the volume discount apply? | The quantity is below the rule's minimum (e.g. 40 ordered, 50 needed). |
| Why didn't the promotion apply? | The order date is outside the promotion's dates, or it's for other products. |
| Why is there no tax? | No tax rule matches the product, customer or unit. Ask an administrator. |
| The saved price changed after editing | Saving recalculates with today's rules for the order's pricing date. |
