Supplier status and purchase readiness

Where: a supplier → Overview.

The Overview has five panels: Account and identity, Classification and validity, Lifecycle status, Purchase readiness, and the shared Party identity and Partner relationship.

Lifecycle status

StatusMeaningCan be ordered from?
DRAFTBeing set upNo
PENDING_APPROVALWaiting for procurement approvalNo
ACTIVEApproved and tradingYes, if every readiness check passes
ON_HOLD, SUSPENDED, INACTIVEStopped for a whileNo
CLOSEDFinished. Read-only for goodNo
REJECTEDNot approved. Read-only for goodNo

Change the status

Who: supplier.manage.

  1. In Lifecycle status, choose the New status (only allowed moves are offered).
  2. Optionally enter a Reason (up to 500 characters), for example "Compliance approved by Nadia 12 Nov".
  3. Save. The dates Activation approval date, Suspended date and Closed date in Account and identity are filled in as the supplier moves.

Refused: "Invalid supplier status transition: DRAFT -> ACTIVE" (go through PENDING_APPROVAL); "Supplier has child suppliers" (when closing a parent).

Classification and validity

Who: supplier.update. Select Edit classification and validity to change type, tier, group, parent, the Preferred, Approved supplier and Critical flags, strategic importance, and Active from / Active until. "Closed and rejected Suppliers are read-only."

Two kinds of approval

ACTIVE status (with its activation approval date) and the Approved supplier flag are separate. Purchasing needs both.

Purchase readiness

The panel lists each check with a pass or fail, so you can see why a purchase order would be refused. Select Refresh readiness after changing something.
