Save filters and schedule reports

Where: a report → Save filters; and Reports → Saved reports and schedules. Who: reports.view to save; reports.export to queue and schedule.

"Private to your user and tenant. Saved filters store parameters, not permission grants." Others can't see your saved reports, and saving doesn't give anyone access.

Save the filters of a report

  1. Run the report with the filters you want.
  2. Under Save filters, enter Saved report name (1 to 100 characters) and choose the export format (Excel or PDF).
  3. Select Save filters.

Or, on Saved reports and schedules, select New saved report and enter: Name, the report, From / Through (inclusive) or As of (inclusive), an optional Business unit ID, optional Account ID (optional), and the format.

You can keep up to 50 saved reports (500 per organisation).

Daily schedules

A schedule exports a saved report every day at a local time, and puts the file in your Export history.

  1. Under Daily schedules, choose the saved report (Choose a saved report).
  2. Enter the time zone, for example Europe/London.
  3. Enter the Daily local time, for example 07:00.
  4. Choose the dates mode:

Fixed saved datesExactly the saved dates every dayStock position, a fixed period
Previous calendar monthThe saved dates are replaced by last month (From 1st, Through last day; As of = last day)Month-end reports
  1. Select Create daily schedule.

Example: Nadia schedules "Monthly TB" at 07:00, Previous calendar month. Every morning in December a fresh November trial balance is waiting in her Export history, including any late postings to November.

Schedules can be Enabled, Disabled or deleted. The list shows the next run, the last run, and the last error.

Rules

  • A schedule runs as you, with your current access. If you lose access, it stops with an error.
  • Daylight-saving changes: a time that doesn't exist that day runs at the next valid time; a repeated time runs once.
  • Editing a saved report: "Filters saved. Review attached schedules before re-enabling them."
  • Unit access changed since saving: "Saved report unit scope changed; create a new job".
  • "Choose an IANA timezone and daily time in HH:mm format" means the zone or time is invalid. Use names like Europe/London, Asia/Karachi.
