What happens automatically
Each step of an order updates other modules for you. Don't repeat these changes by hand.
| When you… | The system… | Where to check |
|---|---|---|
| Save an order | Calculates prices from your pricing setup, and works out which approvals are needed | The order's lines and Breakdown |
| Confirm | Checks Available stock in the warehouse, then reserves the quantities at the default location (On Hand unchanged, Reserved up) | Inventory Balance; Stock Movement shows SALE_RESERVATION |
| Cancel a confirmed order | Releases the reservation | Inventory: SALE_CANCEL_RELEASE |
| Revert to Draft a confirmed order | Releases the reservation | Inventory: SALE_CANCEL_RELEASE |
| Create Invoice | Creates a Draft invoice for the whole order | The order's Invoice button |
| Post Invoice | Makes it final and posts its journal to the accounts | The invoice's Journal section |
| Record Payment | Records the payment, reduces the outstanding balance, posts a payment journal, and marks the invoice Partially Paid or Paid | The payments list |
| Dispatch | Takes the goods out of the default location, and updates remaining quantities and the order status | Inventory: SALE_DISPATCH |
Don't do it twice
- Don't Reserve Stock in Inventory for a confirmed order: it's already reserved.
- Don't Remove Stock in Inventory for goods you dispatch: dispatch does it.
Nothing is sent to the customer
The system doesn't email orders, invoices or receipts. Send them through your usual channels.
