Close employment and process a departure

Departure combines HR dates, master status, login access and operational handover. The current browser has no single atomic offboarding wizard. Each save commits separately, and disabling a User is an Administration task.

  1. Agree actual end date, last working day, termination classification/reason and rehire decision.
  2. Inspect every employment and its assignments, compensation and benefit enrolments.
  3. Close contained records so none remains open or ends after the intended employment end.
  4. Save and verify those child closures.
  5. Close employment with the full intended contract fields. If Termination Type is entered, End Date and Termination Reason are required.
  6. Once every employment end is strictly before server today, record TERMINATED with its own status reason.
  7. Separately disable/review the linked login and roles/unit grants under the approved access process.
  8. Hand over open operational responsibilities and review personal/supporting records where required.

Timeline example

DateAction/meaning
30 NovemberInclusive last employment day; contained records may end this day
30 November server todayTERMINATED is still refused because employment ends today
1 DecemberAll periods ended before today; explicit termination can be recorded

The status remains what was saved until someone changes it. No midnight job is implied. A future end date can already show the generic closed marker in a tab; inspect the actual date instead of treating the marker as completed offboarding.

Limits and recovery

Emergency contacts, dependants, qualifications, documents and work authorisations are not all employment-contained and are not automatically retired on termination. Review their legitimate retention/accuracy through the approved process. This Employee module has no automatic purge or hard-delete workflow.

If closing employment fails, inspect open/later-ending assignments, compensation and benefits, including later pages and records outside the current viewer's scope. Arrange an authorised review where needed. A failed final save does not undo previously saved closures.

The EMPLOYEE role on Party remains a classification after termination. Operational eligibility relies on current status and dated records, not removal of that role. Do not delete Party identity or reuse employee/User IDs to hide a departure.
