Setup checklist
Prepare the workflow you intend to use. Recording a draft needs less setup than posting it; starting a sponsorship needs different preparation from receiving a donation.
Donation preparation
| Check | Evidence to confirm | If missing |
|---|---|---|
| Correct tenant | Tenant name/code in the application | Sign in to the correct tenant before selecting IDs |
| Modules | CHARITY, PARTY and ORGANIZATION available | Ask the authorised capability administrator |
| Staff access | Donation permissions and explicit active-unit access | Review roles and scope separately |
| Identity | Existing active Party with DONOR role for an identified gift | Search Party and activate DONOR; avoid duplicates |
| Funds | Active tenant funds with approved restrictions | Create/review fund definitions first |
| Amount evidence | Actual received amount, currency and allocation decision | Resolve with the responsible officer |
Unidentified gifts do not require a placeholder donor Party. Known donors requesting public anonymity remain identified internally.
Additional posting preparation
- Confirm CHARITY_FINANCE and its dependencies are available.
- Have finance approve the base currency and tenant IANA time zone.
- Configure the current business date and active accounting settings.
- Resolve any existing-ledger currency conflict before activation.
- Configure an active receipt route for the exact unit, method, holding and base currency.
- Configure an approved active income mapping for every allocated fund.
- Check donation totals and every split against the currency's posting precision.
- Confirm actual receipt date and any private evidence reference.
- Assign posting and financial-view rights to the approved operator.
Example: A GBP 250 donation split GBP 150/100 can be saved as a draft before income mappings exist. It cannot post until both funds have valid mappings. Do not remove one split just to bypass missing configuration.
Sponsorship preparation
Confirm CHARITY_SPONSORSHIP and CARE are available; the sponsor is an active donor; the fund is active and RESTRICTED; and the chosen target is valid. A beneficiary needs a current sponsor-profile sharing consent, an alias, an eligible live status and non-protected visibility. A photo needs separate public-photo consent at approval.
Agree commitment amount, currency, frequency, start and optional end. Arrange a different authorised person to decide submitted updates. This is preparation for a commitment record, not a bank mandate or instalment collection plan.
Before accepting the guide for your release
Walk through these tasks in an approved test tenant. Verify your permission catalogue, actual finance mappings and date policy. Screenshots should use approved demo data only. This documentation does not provision accounts, change entitlements or submit financial actions.
