Read history and reconcile postings
Use donation detail to distinguish original evidence, current effective classification and past operations. The record keeps lifecycle history and a financial revision chain; a correction does not erase the first allocation.
Detail reference
| Section/value | What it tells you |
|---|---|
| Status and version | Current lifecycle and concurrency state |
| Original allocations | Original posting allocation evidence, or current draft list before posting |
| Current effective allocations | Latest posted classification after corrections |
| Current revision / correction count | Effective revision reference and number of corrections |
| Internal payment number and ID | Internal receipt identity; not a donor acknowledgement |
| Actual receipt date / posting date | Arrival date versus accounting date |
| Original journal | Initial journal reference |
| Effective journal | Latest classification journal, or none after duplicate reversal |
| Inverse journal | Opposite entry for the relevant financial operation |
| Revision chain | Revision/journal/route/operation references retained over time |
Lifecycle history needs charity.donation.history.view. Financial history also needs financial/donation view and normal scope. Reasons, receipt evidence and correction references need sensitive view; redacted information is not evidence that no reason was recorded. Lifecycle event times are explicitly displayed in UTC in the current donation detail.
Reconciliation procedure
- Open the exact donation and choose Refresh data.
- Confirm tenant, unit, amount, currency, identity policy and state.
- Compare actual receipt date to the approved private evidence.
- Compare current effective allocations to the approved classification.
- Trace original and effective journal IDs and correction history.
- Where authorised, inspect accounting lines using their normal accounting permissions and Charity restrictions.
- Record the observed IDs, amounts and approved request reference in the internal reconciliation process.
Example: Original journal recognises GBP 250 at 150/100. After correction, the chain contains that journal, its inverse and the 175/75 replacement. Adding all valid chain effects yields the latest GBP 250 classification, not GBP 500 of income.
Investigation limits
Generic customer payment screens exclude Charity receipts and cannot allocate, reset or cancel them. Their absence from a customer register is expected. Shared accounting reports show minimised financial context and are not donor directories.
Do not infer sponsorship instalment payment from fund totals: donations are not linked to sponsorships. There is no automatic bank-statement match, donor acknowledgement or arrears reconciliation in this workflow. If a save/commit response was lost, establish outcome through the original retry and refreshed history before submitting a new action.
