Configure approved receipt routes
A receipt route binds a business unit and physical holding to its approved asset account, method and base currency. Selecting a route records money already held; it does not instruct a bank or move cash.
Fields
| Field | Rule | Example |
|---|---|---|
| Active authorized business unit | Existing active unit you may configure | BHT-NORTH |
| Neutral physical holding key | Internal identifier, maximum 100 characters; no bank number or donor reference | NORTH-CASH-01 |
| Approved asset debit account | Active eligible ASSET account with debit normal balance | Approved cash asset account |
| Receipt method | CASH or BANK_TRANSFER | CASH |
| Configured base currency | Displayed from settings | GBP |
| Required route reason | Private configuration explanation, maximum 500 characters | Approved North cash receipt mapping |
| Active | Offered for eligible new financial actions | Yes |
Create and verify
- Open Financial configuration → Receipt routes.
- Check existing routes, including pagination, to avoid duplicates.
- Confirm unit, holding and account with finance.
- Complete Create approved receipt route and its reason.
- Choose Create route.
- Reload and verify the new route's ID, unit, holding, account, method, currency and activity.
Change or retire a route
Route identity is immutable, including before first use: create a replacement to change unit, holding, account, method or currency. The browser provides an Activate/Deactivate route action with a required reason and explicit confirmation. No delete or identity-edit workflow is provided.
Retiring a route preserves historical evidence. A correction may reference an inactive historical source, but its replacement route must be active and satisfy the same-holding rules.
Examples
Two routes for North can represent a cashbox and a bank holding. These are genuinely different holdings and are not interchangeable during classification correction. Moving funds physically between them needs a separate approved process.
Two routes can represent the same holding with different approved asset account classifications. Selecting the alternative during correction also needs charity.donation.correct.cash-account. A general fund correction permission does not authorise a cash-account change.
If no route appears during posting, check exact donation unit, base currency, active state and permissions. If account choices are empty, check account lookup authority and eligible active ASSET/debit-normal setup. Do not create a new holding label simply to bypass a mismatch.
